Context:

We live in a dynamic world, which consists of various complex adaptive systems and requires today’s managers to take a holistic view of the business. In order to gain a holistic understanding, managers need to understand all the key internal and external stakeholders and the intended and unintended consequences of their decisions. To achieve this objective, managers need to learn and apply systems thinking tools and techniques. One such tool is “Rich Picture”. Rich Picture helps us express our own understanding of the world, the stakeholders to be considered and the impact that they may have our actions. Tools such as Rich Picture, CATWOE and Root Definition Reports, help us to understand others’ perspectives without getting involved in conflicting arguments of convincing one another about their own worldview.

This assessment is linked to MGT603 Assessment 1 (Part A).

To successfully complete MGT603 Assessment 2, students will require to write a comprehensive report that helps resolve the problem that they have introduced in MGT603 Assessment 1 (Part A) for their selected case organisation.

Using the resulting discussion from MGT603 Assessment 1 (Part A), students are required to analyse and synthesise consequences of the selected case organisation’s issue/problem/challenge on various internal and external stakeholders involved while achieving the goals and objectives through policy implementation. There are two (2).

2. Root Definition Report Using CATWOE: A “Root Definition Report” is a “structured analysis and description of the system being investigated”. A Root Definition Report explains, “what”, “how” and “why”. A CATOWE analysis can help in the development of a thorough Root Definition Report. CATWOE is a mnemonic that identifies all stakeholders in the system being analysed.

To successfully complete MGT603 Assessment 2 report, it must include:

- Rich Picture
- Root Definition Report Using CATWOE
- And based on these tools (Rich Picture and Root Definition Report Using CATWOE), students will recommend two (2) optimal solutions to overcome the problem/issue/challenge identified in MGT603 Assessment 1 (Part A). important discussions to MGT603 Assessment 2.

Solution

1. About the company

Coffee Club Australia's goal is to provide amazing and wonderful café services to its consumers (Coffee Club, 2021). This company is involved in the restaurant and café business and has 300 locations around Australia. The most important goods and products are coffee and contemporary cuisine. In the year 2005, the Coffee Club franchise was brought to New Zealand. As a result, the organisation started operating in New Zealand as well. This study aims to understand the different issues that the organisation is facing and come up with some recommendations based on the different models of the rich picture and Catwoe analysis.

2. Present Issue

Considering the current situation of the organization, it is noted that making adaptations such as carryout and delivery are the most critical concerns that Coffee Club is dealing with due to the COVID epidemic. The corporation suffered a significant loss as a result of this issue. During the covid-19 pandemic situation, the most important aspect of the company is that they have lost several customers, as the above-referred aspect can easily lead to lower customer satisfaction rate (QSR Media, 2021). The people who were regular visitors of the organisation have completely stopped paying their visit to the company. As a result, this particular Coffee Club is facing a lot of difficulties to cope with the situation (Wasieleski & Weber, 2017).

As a result, system thinking is used, as it is useful in dealing with the issue since it allows the problem to be seen in a more comprehensive approach. Additionally, it may assist in discovering the inter-relationships between the contemporary pieces of the organisation to provide a viable solution for the situation (Henshaw, 2019). By offering a comprehensive picture of the issue, system thinking may assist Coffee Club in understanding the degree to which the problem might affect the demand for the company's products and services.

3. System Thinking Tools Importance in Solving The Issue

Among the system-thinking tools, having a rich picture is beneficial in handling any difficult scenario, since it allowsto break problems down into multiple levels and get an insightful grasp of the base of the problem (Berg, 2015). Given below is a rich picture of the coffee club in Australia, which is breaking the intersystem into several parts to enable one to understand the issue of the covid-19 situation in a better manner. With the help of this picture, it is possible to resolve the problem in an effective manner (Jelena & Dejana, 2018). On the other hand, the CATWOE analysis is a problem-solving checklist that was built using system thinking principles. This checklist helps to analyse if any important aspect or points is missed in the entire process. It aids in the identification of appropriate solutions to issues that may lead to greater success in the future. This kind of success is also deemed to be sustainable and long-term in nature.

The organisation would be able to concentrate on its production and delivery of products safely to its new and existing customers, as well as determine customers' expectations to maintain proper social distancing and complete sanitisation guidelines if Rich Picture was implemented(Nguyen & Nguyen, 2019).

5. CATWOE Analysis

Based on CATWOE, it can be said that the organisation should place a priority on soliciting proposals from actors such as employees, suppliers, and government authorities (Jelena & Dejana, 2018). Assisting in developing policies for the safe and secure distribution of food products, Coffee Club can make changes to its manufacturing, operations, and delivery processes. This would allow the teams to maintain all safety standards while interacting at the bare minimum.

6. Consequences on Stakeholders, Both Deliberate and Unintentional

Customers and staff, among other stakeholders, have been the most adversely impacted by the issue that has been uncovered. Several staff lost their employment, and all of the café's clients began to miss the eating services provided at the other end of the building. Also, many of the staff suffered a huge cut in their salary (Rita, Oliveira & Farisa, 2019). It is also important to note that many shareholders have already disconnected all forms of connection with the organisation owing to the huge loss and economic deficit that it is facing presently. It is not only the organisation but also the stakeholders who were the sufferers due to the situation both in an unintentional as well as intentional manner.

7. Recommendations

Some of the important recommendations that can be given to the organisation based on the reach picture as well as the other tools of analysis are given below-

1. Using social distancing and constant sanitization as the only means of communication between the staff members, stakeholders as well as customers is the way to maintain proper hygiene during this crisis (Shnayder & Van Rijnsoever, 2018).

2. The organisation can also be tied up with other international brand and company to ensure that the economic laws and burden is somehow getting corrected by expansion strategy (Fakana & Mengist, 2019). In this way, the organisation will be able to get some financial help from other countries as well.

8. Conclusion

In the concluding lines, it can be stated that the use of system thinking approaches may assist Coffee Club in improving its company operations during the Covid-19. The CATWOE and Rich Picture tools are also beneficial in helping to analyse the issue and develop more accurate solutions, as previously stated. With the help of the above-mentioned tools and Recommendations, it is certainly evident that the company will be able to bear this kind of economic crisis and problems in a better manner. Also, the online application and social distancing along with the process of home delivery will encourage new customers to use the app. In this way, there will be an expansion in the organisation, and it will also get new customers. The profit margin, as well as the economic condition, will gradually become better with the help of all these strategies. International collaboration will also help the organisation to lead a better position in the market along with gaining social and international recognition within a very short period. All over, it will be beneficial for the organisation from all possible directions if they implement all these important strategies and recommendations in their process.
